2025 November (FilPass V2 Launch)

FilPass V2 introduces a refreshed design and a more streamlined experience across the platform. This release focuses on improved usability, clearer navigation, and enhanced controls for managing issuances, approvals, and records.

Overview of Improvements

  • Updated interface with a more cohesive and modern layout
  • Improved navigation and clearer labeling across all modules
  • Enhanced tables, filters, and export options
  • New features added to support efficiency and accuracy in daily operations

General Updates

  • A Department dropdown is now available in the Dashboard, Batch Issuance, and Approval modules, allowing users to filter issuances by department.
  • The Reset Filters button has been renamed to Clear Filters.
  • Tables across V2 can now be downloaded using the Download button.
  • Table columns can now be reordered by dragging.
  • Pagination options now include 10, 25, 50, 75, and 100 items per page.
  • Users can now manually enter a page number to navigate directly to a specific page.
  • All date columns now include a responsive date search modal.
  • Tables now include side navigation arrows to improve horizontal navigation.
  • Discard confirmation modals have been implemented to prevent accidental actions.

Navigation Bar

  • The navigation bar has been redesigned for improved clarity and ease of use.
  • The navbar can now be hidden or shown using the toggle icon.
  • The profile picture has been removed from the navbar and replaced with the FilPass logo.
  • Recipients has been renamed to Recipient.
  • Audit has been renamed to Audit Log and is now divided into Logs and Uploads tabs.
  • Batch Issuance now includes four sub-tabs:
    • All Issuances
    • Template-Based
    • Mint File
    • Mint PDF
  • Approval List has been renamed to Approval.
  • Tabs under Developer Tool are now easier to access.
  • Account is now a dedicated section with the following items:
    • Audit Log
    • Accounts
    • Settings
    • Legal
  • Template Design has been moved under the Template section.
  • Template has been renamed to Design.
  • Workflows now has its own section named Workflow, with List as the main view.

Dashboard

  • Dashboard data can now be exported using the Export button.
  • Reports can be exported based on the selected date range.
  • A summary of all batch issuances is now shown before individual issuance-type summaries.
  • The main dashboard chart and monthly summary averages are now displayed as line graphs.
  • Donut charts are available for each issuance type.
  • The main chart summary can now be filtered to include or exclude:
    • Batches
    • Published
    • Unpublished
    • Rejected
    • Pending
    • Pending Release
    • Recipients

Recipient

  • When viewing a recipient, documents are now organized into the following sub-tabs:
    • All
    • Pending
    • Pending Release
    • Approved

Audit Log

Document Logs

  • Column order is now:
    • Timestamp
    • Document ID
    • Batch No
    • Batch Name
    • Activity
    • Release Timestamp
    • User
    • Department – Role
  • A new Release Timestamp column shows when a document is released by a Document Release Controller.
  • The Action column from V1 is now labeled Activity.
  • The Role column is now Department – Role, showing the associated department.

Batch Logs

  • Column order is now:
    • Timestamp
    • Batch No
    • Batch Name
    • Action
    • Feature
    • User
    • Department – Role
  • The Feature column indicates whether the batch was created through Batch Issuance or via a Workflow.

Account Logs

  • Column order is now:
    • Timestamp
    • Department ID
    • Role ID
    • Remarks
    • User
    • Department – Role
    • Status
  • The Action column from V1 is now labeled Status.

Batch Issuance

Batch List

  • Batch Issuance is now grouped into three tabs:
    • All
    • Active
    • Archived
  • Active batch issuances can now be archived.
  • Published batch issuances can now be deleted.
  • Column updates include:
    • Batch No (replacing Batch ID)
    • Created On and Released On (renamed from Created and Release)
  • A new Tags column has been added.

Create Batch

  • The Create Batch form is divided into:
    • Batch Information: Department, Issuance Type, Batch Name, Notes, Tags
    • Published Information: Document Published Title, Description, Course Website, Skills
  • Notes, Tags, and Skills are now available to further customize batch issuances.
  • Approvers now display an icon indicating their approval level.
  • Template-based batch issuances now support Check-In, when enabled.

Upload

  • After uploading an Excel template, users can now review a Validation Summary and file name.
  • Bulk uploads now use a dedicated modal.
  • Uploaded files display:
    • Date and Time
    • File Name
    • Status
    • Actions
  • Status values are now Matched and Mismatched.
  • Delete actions now use a trash icon.
  • The upload area is disabled once the maximum number of files is reached.
  • Template variables, such as profile pictures, can now be uploaded in bulk.
  • A loading modal replaces repeated confirmation modals after clicking Create.
  • Uploaded documents can be expanded or collapsed for a cleaner view.

Documents

  • Batch Details, Upload, and Audit Log tabs remain available.
  • Check-In Status is shown only for template-based batches with Check-In enabled.
  • Manual Check-In is allowed only for approved documents.
  • Pending Release statuses are now differentiated:
    • Pending Release (Scheduled Release Date)
    • Pending Release (Document Release Controller)

Approval

  • The Approval module now displays three sub-tabs:
    • All
    • Pending
    • Pending Release Date
  • Batch Name, Batch No, and Document Title are now shown above the table for easier reference.

Developer

  • The Developer section is now split into:
    • API – for creating and managing API keys
    • Documentation – providing guidance on using the FilPass API

Accounts and Settings

Account Management

  • Password management has moved to My Profile under Password.
  • Department, role, and user management is now located under Accounts.
  • Legal now has its own navigation item.

Tables

  • Departments table includes:
    • Name, Description, Status, Created On, Last Updated, Action
  • Users table includes:
    • ID, Name, Role–Department, Email, Status, Created On, Last Updated
  • Roles table includes:
    • Name, Description, Department, Permissions, Status, Created On, Last Updated
  • Role permissions are now fully visible in V2.

Settings

IA Profile

  • My Profile content from V1 has been moved to IA Profile.
  • IA Profile is divided into:
    • Complete Registered Address
    • Complete Mailing Address
    • Registration Details
    • Industry Information
  • Philippine addresses include additional structured fields such as region, province, city or municipality, barangay, and zip code.
  • Industry Information varies based on the selected industry, including expanded fields for Construction.

Additional Features

  • Profile picture management is now under My Profile.
  • Access Level provides visibility into all roles and departments.
  • TXT Record Setup has moved under IA Profile.
  • White Label Verifier can now be updated without administrator assistance.
  • Platform Fee settings are now located under IA Profile.

Workflows

  • Created is now labeled Created At.
  • Workflow List now includes five status-based tabs:
    • All
    • Active
    • Inactive
    • Published
    • In Progress
  • In-Progress and Published workflows can now be deleted.
  • Tooltips have been added to Workflow Details, Issuance, and Payment tabs.
  • Header uploads no longer auto-crop and can now be deleted.
  • Approval is now managed in a separate tab.
  • Invoice Name and Platform Fee are located in the Payment tab when enabled.
  • Several settings have been renamed for clarity.
  • Save as Draft is now available for Issuance, Approval, and Payment tabs.
  • The Custom tab now includes categorized template fields.

Applications

  • Application No has been renamed to Application ID.
  • Zip files can now be generated from the Applications tab.
  • Downloads are managed in the Downloads tab with status-based sub-tabs:
    • All
    • Pending
    • Processing
    • Ready
    • Expired
    • Failed
