Overview
The Audit Logs page allows users to track all recorded system activities within their account. It provides visibility into document actions, batch operations, and account-related activities. This feature ensures transparency, traceability, and accountability of user actions within the platform.
The Audit Logs page is divided into three main tabs:
- Document
- Batch
- Account
Each tab displays activity records relevant to its category.
Viewing Audit Logs
When you navigate to the Audit Logs page, the system automatically loads records based on the selected tab. By default, logs are displayed in a paginated table format with a predefined number of items per page (e.g., 10 items).
Each record includes the following information:
- Timestamp
- Document ID
- Batch Number
- Batch Name
- Activity (e.g., Approved)
- Release Timestamp
- User
- Department – Role
Users can switch between the Document, Batch, and Account tabs to view different types of activity logs. The displayed data updates automatically when a different tab is selected.
Searching and Filtering Logs
The Audit Logs page provides multiple search and filtering options to help users quickly locate specific records.
Global Search
The Global Search field allows users to search across multiple visible columns at once. Entering a keyword will filter results dynamically based on matching values within the current dataset.
Column-Specific Search
Each searchable column includes its own search field. Users may filter logs by:
- Document ID
- Batch Number
- Batch Name
- User
- Department – Role
This allows for more precise filtering compared to global search.
Date Filters
Users can filter logs based on:
- Timestamp (activity date)
- Release Timestamp
Selecting a date or date range will display only records that match the selected criteria.
Activity Filter
The Activity dropdown enables filtering by specific actions such as:
- Approved
- Rejected
- Release
- Upload
- Restore
- All
Combining Filters
Multiple filters can be applied simultaneously. For example, users may filter by:
- Activity = Approved
- User = Specific User
- Date = Specific Range
The system will display only records that match all applied filters.
Clearing Filters
Clicking the Clear Filter button resets all search fields and filters to their default state and restores the full dataset view.
Pagination and Navigation
The Audit Logs page supports pagination to manage large datasets.
Users can:
- Navigate to the next or previous page
- Click a specific page number
- Enter a page number in the "Go to page" field
- Change the number of items displayed per page
The table updates automatically based on the selected pagination settings.
Downloading Audit Logs
The Download button allows users to export audit log records.
The exported file may include:
- All records (if no filters are applied), or
- Only filtered results (if filters are active)
This feature is useful for reporting, auditing, and compliance documentation.
Data Accuracy and Real-Time Logging
The Audit Logs system automatically records relevant system activities. When an action is performed (e.g., approving a document), a corresponding audit entry is generated.
Each log entry records:
- The exact timestamp of the action
- The user who performed the action
- The associated department and role
- The related document or batch information
Logs are generated automatically and cannot be modified or deleted by users to preserve data integrity.
