Audit Logs Batch User Guide

Overview
The Batch tab within the Audit Logs page provides a detailed record of all batch-related activities performed within the system. This includes actions such as batch creation, updates, workflow initiation, and batch issuance activities.
The Batch Audit Logs serve as a traceability and accountability tool, allowing administrators and authorized users to monitor changes made to batch records and related system features.
Viewing Batch Audit Logs
When the Batch tab is selected, the system displays a table containing batch-related activity records.
Each entry includes the following information:
- Timestamp (date and time the action occurred)
- Batch Number
- Batch Name
- Action (e.g., Create, Archive)
- Feature (e.g., Batch Issuance, Workflow)
- User (who performed the action)
- Department – Role
By default, the system displays a predefined number of records per page (e.g., 10 items per page). Users may navigate through multiple pages if more records are available.
Searching and Filtering Batch Logs
The Batch tab includes multiple filtering and search tools to help users quickly locate specific batch activities.
Global Search
The Global Search field allows users to search across multiple visible columns simultaneously. Entering a keyword filters the results based on matching values in the dataset.
Column-Specific Search
Users can refine their search by entering values in individual column search fields:
- Batch Number
- Batch Name
- Feature
- User
- Department – Role
This allows more precise filtering compared to global search.
Date Filter
The Timestamp column includes a date filter that enables users to narrow down records by specific dates or date ranges. Only records that match the selected date criteria will be displayed.
Action Filter
The Action dropdown allows filtering by specific activity types such as:
- All
- Create
- Archive
- Unarchive
- Delete
Selecting an action will display only logs corresponding to that activity type.
Combining Filters
Multiple filters may be applied at the same time. For example, users may filter by:
- Action = Create
- Feature = Batch Issuance
- User = Specific User
- Date = Selected Range
The table will display only records that match all selected criteria.
Clearing Filters
Clicking the Clear Filter button resets all applied filters and search fields to their default state and restores the full list of batch logs.
Pagination and Navigation
The Batch Audit Logs support pagination for efficient data handling.
Users can:
- Navigate using next and previous page controls
- Click a specific page number
- Enter a page number in the “Go to page” field
- Adjust the number of items displayed per page
The table updates automatically based on the selected pagination settings.
Downloading Batch Logs
The Download button allows users to export batch audit records for reporting, auditing, or compliance purposes.
Depending on the current filter settings:
- If no filters are applied, the export may include all batch records.
- If filters are active, the export will include only the filtered results.
The downloaded file contains the same columns displayed in the table.
Activity Logging and Data Integrity
The system automatically records batch-related activities whenever an authorized user performs an action. Each log entry captures:
- The exact timestamp of the action
- The user responsible for the action
- The associated department and role
- The affected batch number and name
- The related feature (e.g., Batch Issuance, Workflow)
Audit log entries are system-generated and cannot be modified or deleted by users. This ensures data integrity and maintains a reliable audit trail.
