Document Request Module (DRM) Launch

Last updated: 2026 June 30

We're excited to introduce the Document Request Module (DRM) in FilPass V2. This new module provides organizations with a complete end-to-end workflow for managing document requests—from creating customizable request forms and collecting applicant information to processing approvals, payments, and issuing digital credentials.

The DRM is designed to simplify document request management by centralizing every stage of the process into a single, configurable workflow. Organizations can tailor each request form to meet their operational requirements while providing applicants with a seamless submission experience.

What is the Document Request Module?

The Document Request Module enables Issuing Authorities to create fully configurable online request forms for recipients. Each request can include customized applicant fields, approval workflows, payment requirements, and automated document issuance—all managed from a single module.

Whether your organization processes transcript requests, certificates, permits, clearances, or other official documents, DRM provides a flexible workflow that adapts to your requirements.

Module Navigation

The Document Request Module is accessible from the main navigation and consists of three primary sections:

  • Document Request Form
  • Applications
  • Approval

These modules work together to manage the complete document request lifecycle.

Document Request Form

The Document Request Form serves as the starting point for every workflow.

Issuing Authorities can create and configure request forms before publishing them for recipients.

Each request form is organized into dedicated configuration tabs:

  • Request Details
  • Applicant Details
  • Issuance
  • Approval
  • Payment
  • Custom

This modular structure allows each stage of the workflow to be configured independently.

Request Details

Configure the general information displayed to applicants.

Available fields include:

  • Department
  • Published Request Title
  • Request Name
  • Published Description
  • Header Image

Workflow behavior can also be configured through built-in settings.

Available workflow options include:

  • Enable Applicant Details
  • Enable Approval Workflow
  • Require Issuance of Document
  • Enable Custom Tab
  • Enable Payment Module
  • Enable Guest Access
  • Allow External Remarks

These settings allow organizations to customize how each request is processed based on business requirements.

Applicant Details

Collect applicant information using customizable fields.

Features include:

  • Required fields
  • Optional fields
  • Read-only fields
  • Hidden fields
  • Variable mapping
  • Custom field ordering
  • Template variables

Organizations can configure forms to collect only the information relevant to their document request process.

Issuance

The Issuance tab integrates document generation directly into the workflow.

Available configuration includes:

  • Template selection
  • Batch Name
  • Notes
  • Tags
  • Published Document Title
  • Description
  • Course Website
  • Skills
  • Document Metadata

Additional issuance features include:

  • Audit Trail on Last Page
  • Send Processed Document to Recipient
  • Scheduled Release Date
  • Document Release Controller

These options provide greater flexibility for managing document releases.

Approval

Configure approval workflows before requests proceed to issuance.

Supported capabilities include:

  • Multi-level approvals
  • Sequential approvers
  • Approval routing
  • Approval remarks
  • No Approval configuration

Organizations can require internal review before documents are issued.

Payment

Enable online payment collection as part of the request process.

Supported payment methods include:

  • Credit / Debit Card
  • E-Wallets
  • QR Ph
  • Bank Transfer
  • Onsite Payment

Payment requirements can be enabled or disabled depending on the request type.

Custom

The Custom tab allows organizations to collect additional information beyond the standard applicant fields.

Custom fields can be configured to support institution-specific requirements without modifying the core workflow.

Applications

The Applications module provides a centralized location for managing submitted requests.

Issuing Authorities can:

  • View submitted applications
  • Review applicant information
  • Monitor application progress
  • Process document requests
  • Track request status throughout the workflow

Approval Module

The Approval module allows designated reviewers to manage pending document requests.

Approvers can:

  • Review applications
  • Approve requests
  • Reject requests
  • Add remarks
  • Continue the issuance process

This ensures organizations maintain proper review and approval controls before documents are issued.

Recipient Experience

Recipients can conveniently complete the entire request process online.

Applicants can:

  • Access published request forms
  • Complete required information
  • Upload supporting details
  • Submit applications
  • Complete payment (when required)
  • Track application progress
  • Receive issued documents

The experience automatically adapts based on the workflow configured by the Issuing Authority.

Workflow Status

Document Request Forms support multiple lifecycle stages:

  • Draft
  • Published
  • Active
  • In Progress
  • Archived

These statuses help administrators manage forms throughout their lifecycle.

Key Benefits

The Document Request Module helps organizations:

  • Streamline document request processing
  • Reduce manual administrative work
